How to Set Up Digital Check-Ins for Your Gym (Replace Paper Registers)

Paper registers are messy, inaccurate, and eat up hours of admin time every week. Here's how to switch to digital check-ins using Gym247 — no app downloads, no hardware, and under 5 minutes to set up.

Why paper registers are costing you time (and money)

If you still use a paper register at your gym's front desk, you already know the pain points. Members scribble half-legible names. You spend Sunday night typing those names into a spreadsheet. Someone spills water on the register — there goes a month of data. And when a member argues "I came 20 times this month," you have nothing to show them.

A digital check-in system solves all of this. Members tap their name and number on a phone. Attendance is logged automatically. You see who checked in today from your own phone — in real time. No spreadsheets, no paper, no disputes.

Gym247 gives you this for free. No credit card. No hardware. No app install required for your members. Here's exactly how to set it up.

What you need before starting

  • A smartphone or computer with a browser (Chrome, Safari, Firefox — any works)
  • A phone number to create your Gym247 account
  • Your gym's name and preferred currency
  • About 5 minutes of your time

That's it. You don't need a card reader, a tablet, or any special equipment. Gym247 runs entirely in the browser.

Step 1: Create your gym profile

Go to app.gym247.in/login and sign up with your phone number. You'll receive an OTP to verify. Once you're in, you'll see a simple form asking for two things:

  1. Gym Name — This is the name your members will see on the check-in screen. Pick something recognizable (e.g. "FitZone Gym Andheri" instead of just "FitZone" if you have multiple locations).
  2. Currency — Gym247 supports INR, USD, EUR, GBP, and 30+ other currencies. Pick the one you bill your members in. This is used for subscription amounts and revenue tracking.

Tap "Create Gym" and your gym is live — literally 30 seconds of work.

Pro tip: If you manage multiple gym locations, you can create separate gym profiles for each one and switch between them from a single account. Each gym has its own members, plans, and analytics — completely isolated.

Step 2: Create subscription plans

Before adding members, you need at least one plan. Plans define what your members pay and for how long. Gym247 plans have a few simple fields:

  • Plan name — e.g. "Monthly Standard," "Quarterly Pro," "Annual Premium"
  • Price — The amount in your chosen currency
  • Duration — Monthly, weekly, quarterly, yearly, or custom date range

You can create as many plans as you want. Most gyms start with 2-3: a monthly basic plan, a quarterly plan at a slight discount, and maybe a yearly plan for committed members.

Plans are the foundation of subscription tracking. When you later assign a plan to a member, Gym247 automatically tracks when their subscription expires and shows you alerts in the dashboard.

Step 3: Add your members

Go to the Subscribers tab and tap the Add button. Each member needs:

  • First name and last name — Used for the check-in screen and attendance records
  • Member number — A unique number you assign (start from 1 and go up, or use membership IDs from your existing system)
  • Subscription plan — Pick one of the plans you created in Step 2
  • Start date — When their membership begins

Your member's check-in code is automatically generated: the first 3 letters of their first name + their member number. For example, if you add Rohit Sharma as member #25, his check-in code is #ROH25. This code is what members enter when they check in.

Gym247 shows you every member's status at a glance: active, expiring soon, or expired. The dashboard highlights subscriptions expiring within the week so you can reach out before the member leaves.

Step 4: Run your first check-in

This is where the magic happens. Go to your gym's Subscribers tab and you'll find a check-in URL that looks like:

app.gym247.in/checkin/your-gym-id?name=YourGymName

Share this link with your members. They can:

  • Bookmark it on their phone
  • You can print a QR code linking to this URL and stick it at the front desk
  • Keep a tablet at the reception with this page open

When a member opens the link, they see a screen with your gym's name and two fields: First Name and Number. They enter their name and member number, tap "Check In," and they're done. The screen shows a green confirmation with their name.

Behind the scenes, Gym247:

  • Logs the check-in with a timestamp
  • Verifies the member has an active subscription
  • Prevents duplicate check-ins on the same day
  • Updates your dashboard in real time

If a member's subscription has expired, they see a clear "Membership expired" message — no confusion, no arguments.

Pro tip: The check-in link works on any device with a browser. Most gyms keep a cheap Android tablet at the front desk with this page open. Members walk up, tap their details, and walk in. Total time: under 5 seconds per check-in.

Step 5: Use the dashboard to track everything

Once check-ins start flowing, your dashboard becomes your command center. Here's what you see:

  • Today's check-ins — Live count of how many members checked in today
  • This month's check-ins — Total footfall for the current month
  • Active subscriptions — How many paying members you have right now
  • New subscribers this month — Your growth rate at a glance
  • Revenue chart — Bar chart showing monthly revenue trends over the last 6 months
  • Expiring subscriptions — Alerts for members whose plans end this week

All of this updates automatically. No data entry. No spreadsheets. You check your phone between sets and know exactly how your gym is doing.

The real difference: before and after Gym247

Task With paper register With Gym247
Member check-in Scribble name, hard to read Types name + number, logged instantly
End-of-day summary Count rows manually, type into Excel Dashboard updates automatically
Find expired members Flip through register, cross-check dates Alerts appear automatically on dashboard
Monthly revenue Manually sum all payments Revenue chart with monthly breakdown
Member disputes No reliable attendance log Date-stamped check-in history per member

The biggest unlock isn't just time saved — it's the data. You can now answer questions like "Which months have the most check-ins?" or "How many members didn't renew after their first month?" Answers that are impossible to get from a paper register.

Common questions about switching to digital check-ins

What if my members aren't tech-savvy?

Good news: they don't need to be. The check-in screen has two fields — name and number. If someone can type their own name, they can use it. For members who really struggle, you (or your front desk staff) can type it for them in 3 seconds.

What if the internet goes down?

Gym247 needs an active internet connection for check-ins. If your gym has unreliable internet, keep a backup paper sheet for the rare outage. Most gyms in 2026 have stable WiFi — and a mobile hotspot on your phone works as a backup.

Can I still use this if I have a front desk person?

Absolutely. Put a tablet at the front desk with the check-in page open. Your front desk person watches members check in and steps in only if someone needs help. It reduces their workload significantly.

Ready to make the switch?

Paper registers belong in the past. Your time is better spent growing your gym — not typing names into a spreadsheet. Gym247 takes 5 minutes to set up and costs nothing to start.

The first check-in you log digitally will feel like a weight lifted. The tenth will feel normal. By the hundredth, you'll wonder why you didn't switch sooner.
